Responsibilities:

  • Manage the front desk including managing reception telephone calls for the organization
  • Process Workplace Strategy’s invoices and expenses, and manage budget reconciliation
  • Greet visitors courteously and contact appropriate staff member
  • Locate and define new process improvement opportunities
  • Receive and distribute mail and packages
  • Maintain the front desk area in an orderly and presentable manner
  • Maintain and update various data sets and provide analysis, as needed
  • Coordinate meeting schedules and travel arrangements
  • Provide a high level of customer service to our staff and visitors
  • Providing general administrative support for the entire Workplace Strategy team, and
  • Ad hoc projects, as assigned.

Qualifications:

  • Three to five years of work experience
  • Excellent interpersonal customer service and organizational skills are required
  • Timely completion and attention to detail are expected, as is the ability to make decisions and access situations with the “big picture” in mind
  • Must like to work collaboratively but be able to execute hands-on and independently
  • A proactive approach that is intuitive and able to anticipate circumstances
  • Ability to work accurately and with composure under deadline pressures
  • Must thrive in an environment where multiple activities are ongoing
  • Strong knowledge of and experience for office applications including Excel, Power Point, Word, Outlook, Workplace, and Concur
  • Strong analytical skills with the ability to collect, organize, analyze, and disseminate information with attention to detail and accuracy
  • Excellent written and verbal communications skills
  • Highly trustworthy and able to deal with confidential information
  • Willingness to be available for occasional overtime work
  • Bachelor’s degree and interest in environmental advocacy is not required
